The agency was responsible for administering a healthcare funding program that supports rural hospitals and clinics, but its existing approach to managing provider applications, quarterly reports, and funding-related data was cumbersome and inefficient. Karma designed a user-friendly solution built within the client’s Microsoft 365 environment, creating a more centralized, automated, and accessible way to manage provider submissions and reporting. On top of that, validating quarterly reports was a labor-intensive process that introduced unnecessary risk of delay and error.

The Approach
Karma designed a streamlined, Excel-based database solution that fit directly within the client’s existing Microsoft 365 environment.
Rather than introducing a new enterprise system, we focused on delivering the lowest-cost, highest-value solution by using tools the client already owned and understood — including Excel, SharePoint, and Power Automate. This made the solution easier to adopt, easier to sustain, and better aligned with the agency’s operating environment.
The new workflow centralized provider submissions and introduced automation into critical validation and reporting steps. Quarterly reports could be validated more efficiently, stored in a master report folder, and added seamlessly into a centralized database through SharePoint and Power Automate. Service accounts were also implemented to support secure and reliable file management, helping ensure the process could run with less manual intervention while maintaining stronger control.
